Return Material Authorization (RMA)

Codan Communications products are known for their extraordinarily high level of reliability, yet when a problem does occur, the Codan Technical Support team prides itself on providing timely assistance to our customers. If you encounter any problems, Codan’s Service Department will be pleased to help resolve them quickly.

To return equipment to the Codan Communications factory in Victoria, Canada, for repair or assessment, the Codan Service Department must first issue an RMA (Return Materials Authorisation) number to you. Contact the Service Department at [email protected] or call (800) 664-4066 between 8:00 AM and 4:30 PM PST Monday to Friday to request an RMA number.

Non-warranty repairs are performed on a labour plus parts and shipping basis.

Quotes will only be issued upon request and must be requested prior to shipping equipment to Codan Communications in Canada for repair.

Shipment of equipment to Codan Communications for repair will be considered authorisation to repair the unit using the most cost effective means possible (including replacement).

On the outside of the box please write:

  • The RMA number
  • Include a packing list detailing the contents of the box and the name and phone number of a contact person in case we have any questions
  • U.S. customers must also write that the “COUNTRY OF ORIGIN IS CANADA”

Maintenance Contracts

Since 2007, Codan Communications has offered customers the option to sign up for a maintenance contract that extends the suite of Codan Communications maintenance services beyond the standard three-year warranty for a fixed annual price. The goal of this maintenance contract is to extend Codan Communications factory quality service to your organisation. Using Codan Communications to perform ongoing depot maintenance, repair and service frees up your technicians to address in-the-field issues and deployments, while benefiting from Codan Communications expertise and efficiency in servicing its own product for you.

The Codan Technical Services team will provide fast turnaround on radio repairs, product upgrades, and product testing and tuning. Services will be performed at the Codan Communications factory in Canada, a facility for testing and repair using current test and assembly equipment. The Codan Communications factory in Canada is ISO 9001:2000 certified and maintains this certification through mandatory internal audits and annual inspections.

The Codan Communications maintenance contract can provide five services to support your installed base of Codan radio systems:

  • Failed Unit Repair: Codan Communications will provide a failed unit repair service for any failed unit returned. This service applies to all Codan MT-3 and MT-4 modules.
  • Performance testing of radios for optimal operation (preventative maintenance) to ensure that Codan radio modules are operating to factory, or customer, specifications.
  • Advance Replacement: To reduce the amount of spares inventory the customer needs to maintain and to expedite shipment of units sent for repair, Codan Communications can offer an advance replacement service. With an advance replacement module, tuned and configured for the anticipated need, the technician can effectively complete the site repair on the first site visit and return the failed unit for repair.
  • Upgrades: All modules returned will be upgraded to the latest version of that module that ensures the legal and safe operation of that module based on the use it was originally designed and purchased for.
  • Retuning: Codan Communications can offer a retuning service to adjust the frequency of any operational module so it can operate at a new frequency for redeployment applications.

Retrofits and Upgrades

The Codan Service Department can also assist you with upgrades or retrofits.
